Healthcare intake / live
The front desk is where patient care actually begins.
Intake is not administration. It is the first thing a patient experiences of your practice, and the channel through which nearly all of your revenue arrives. Polymetricslab deploys managed AI voice infrastructure that answers every inbound call, runs a structured intake conversation to completion, and books, reschedules or cancels against your live calendar — around the clock.

Appointment scheduling, from the inbound call.
The deployment starts where the volume is: inbound calls to book, reschedule and cancel appointments. Highest frequency, lowest clinical risk, clearest measurable return.
Book
A new or returning patient calls to be seen.
The agent identifies whether the caller is new or existing, retrieves or creates the record, captures demographics, contact details, funding and referral source, qualifies the enquiry against your criteria, checks live availability by practitioner and appointment type, confirms the booking and sends a confirmation.
Captures demand at the moment of intent — including the hours when nobody is at the desk.Reschedule
A patient needs to move an existing appointment.
The agent locates the appointment, releases the original slot immediately, offers alternatives, writes the change and confirms it.
A slot released at 9pm re-enters availability that night, not at the end of the next working day.Cancel
A patient can no longer attend.
The agent locates the appointment, captures the reason as structured data, releases the slot, offers to rebook or add the patient to a waitlist, and triggers your backfill workflow.
The alternative to an accepted cancellation is not silence. It is a no-show — the slot lost and the clinician idle.Your front desk is a revenue gateway, not an overhead line.
Most practices budget for reception as a cost. It is better understood as revenue infrastructure — the single channel through which new patients enter, and the first point at which someone judges the quality of care they are about to receive.
Speed
Whether the call is answered at all, and how fast. A missed or delayed call is a patient who may already be looking elsewhere.
Consistency
Whether the same questions get asked and the same data captured regardless of who picks up — or which shift, or how busy the desk is.
Availability
Whether the gateway is open when the patient is actually motivated to act, which is frequently not during business hours.
One or two people can be excellent at two of these. No staffing level makes them reliable at all three — not while the same team is managing a waiting room, covering lunch, absorbing sick leave, and rebuilding institutional knowledge every time someone leaves.
What the APAC regional data shows
Demand is compounding, supply is not
World Bank / WHO health workforce labour market projections.East Asia and the Pacific faces a projected shortage of 8.3 million health workers by 2030, the largest of any world region. Every government response is supply-side and clinical — more training places, more international recruitment. None of it adds capacity at the front desk, and none of it arrives for years.
Ageing raises the phone share, not just the volume
UN ESCAP population ageing projections. The region holds 516 million people aged 65 and over in 2025, projected to reach nearly a billion by 2050. Older patients still call rather than book online, call more often, and generate more reschedules. Ageing does not only increase appointments — it increases the share arriving through the channel nobody has invested in.
Utilisation here is the highest on earth
OECD Health at a Glance 2023 and 2025.The two highest rates of doctor consultations per person in the OECD are both in Asia — 18.0 and 12.1 a year against an OECD average of 6.5 — delivered by some of the thinnest physician staffing in the developed world. Every one of those consultations required a scheduling conversation.
Digital booking has not absorbed the growth
National ministry attendance statistics.Where it has been measured, telehealth and online channels remain a small share of total patient contact — around 2% of attendances in one national primary care system across two consecutive years, while total attendances grew 8.5%. Online booking has removed the easy calls. What remains on the line is disproportionately new patients, complex cases and urgent presentations.
Public queues are private demand
Hospital Authority specialist outpatient waiting time statistics, 12 months to March 2026.In one regional system, 76% of new specialist referrals were stable cases waiting a median of 27 to 68 weeks, with the longest waits reaching 96 weeks. Patients who finally decide to go private make that decision once, usually by phone, and usually outside working hours.
Six operational failures the agent removes.
Most practices do not have a booking problem. They have a capacity problem at the moment a patient decides to act. The agent fixes the specific points where that capacity breaks.
Slow response to new enquiries
A new patient enquiry has a short window of intent. If the call is not answered — or is answered after a long hold — the caller moves to the next provider. Peak call windows are exactly when the desk is also managing a physical queue.
The agent answers on the first ring, with unlimited concurrency. Ten simultaneous callers are ten simultaneous conversations. No queue, no hold, no abandonment — and no staffing level at which this becomes economic for a small practice any other way.
Incomplete and inconsistent capture
What gets captured depends on who answers. An experienced receptionist collects funding status, referral source, urgency and the correct appointment type. A new hire under pressure collects a name and a number. Someone has to call back for the rest — if anyone notices it is missing.
The same structured script runs on every call. Same fields, same order, with validation. Scripts are versioned centrally, so a change to intake policy propagates instantly to every call — no retraining, no drift, no variance between the 8am call and the 4:50pm call.
Leads lost to voicemail
Voicemail is treated as a safety net. It is where patient intent disappears. The practice has no record the call happened, so the loss is invisible and cannot be managed or reported on.
No call reaches voicemail. Every call is answered and every call produces a structured record — including the ones the agent cannot fully resolve, which are escalated with full context attached rather than dropped.
Manual data entry
Staff take a call, write it down, then re-key it into the clinic system. Double handling introduces errors and consumes hours a week. More importantly, it happens instead of the conversation that shapes how the patient feels about your practice — someone transcribing while talking is not listening.
Structured data is written directly into your systems in real time. There is no re-keying step because there is no intermediate note. This does not only save time. It returns your team's attention to the patient in front of them.
No after-hours intake
Enquiries arriving outside opening hours sit until the next morning. By then the patient has often booked elsewhere. Weekends and public holidays compound it — a Friday evening enquiry may not be touched until Monday.
Intake runs continuously — nights, weekends and public holidays. A patient who decides at 10pm that they need to be seen can book at 10pm. For providers taking cross-border or international enquiries, 'after hours' is most of the working day in the patient's time zone.
Inconsistent qualification
Without a defined process, unqualified enquiries consume the same staff time as qualified ones — outside the catchment, seeking a service you do not provide, or with a funding arrangement you do not accept. Meanwhile genuinely urgent presentations may not be flagged, because recognising urgency depends on who answered.
Every call is qualified against criteria you define — service type, urgency, geography and funding — before it consumes clinical or senior staff time. Urgent and high-priority enquiries are flagged for immediate human handling. Consistency here is a patient safety argument, not only an efficiency one.
Managed implementation. Live in weeks, not quarters.
We design, build, deploy and operate the agent around your existing systems and workflows. You do not need to replace your practice management software or retrain staff on a new process.
The patient calls your clinic
Your existing number. Nothing changes for the caller.
The call routes to the voice agent
Automatically — always, or only on overflow, after hours, or by line, depending on how you want it configured.
The agent answers and captures patient details
Using your structured intake script. The same fields, in the same order, on every call.
The enquiry is qualified against your criteria
Service type, urgency, geography and funding — defined by you, applied consistently.
Qualified enquiries route to the right person
To the appropriate team member or department automatically. Urgent and high-priority cases are flagged for immediate human handling, with full context attached.
Captured data writes into your systems
Directly into your clinic management system, CRM or intake platform. No re-keying, no intermediate note.
And it runs continuously
Nights, weekends and public holidays. Intake stops being a function of who is rostered.
What the agent handles end-to-end.
A single deployment covers the full intake conversation — not only the booking itself, but everything that has to happen before the appointment is useful.
